Privacy Policy
Last updated: 25 October 2026
AiCy Talent ("we", "us", "our") is a specialist recruitment business in Australia. We respect your privacy and handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, and the choices you have.
01What we collect
Candidates. Your name and contact details, CV, work history, skills, qualifications and certifications, salary expectations, work preferences and availability, right-to-work status, referee details and reference feedback, interview notes, and security clearance level where relevant to a role.
Clients and contacts. Names, job titles, business contact details and information about the roles you are hiring for.
Referees. Your name, contact details and the feedback you provide about a candidate.
We only collect sensitive information (such as health information or criminal history) where it is directly relevant to a role and you have consented, or where the law requires or allows it. Please do not send us your tax file number, bank details, passport or driver licence numbers unless we specifically ask for them at offer stage.
02How we collect it
Most information comes directly from you: when you email us, send your CV, speak with us, or apply for a role. We may also collect information from public professional sources (such as LinkedIn or professional profiles), from referees you nominate, and from clients during the recruitment process.
If we receive information about you that we did not ask for, we will decide whether we could have collected it lawfully. If not, we will destroy or de-identify it.
03Why we use it
- To assess your suitability for current and future roles and to contact you about them.
- To represent you to prospective employers, with your consent.
- To arrange interviews, collect references and manage offers.
- To understand and fill clients' hiring needs and manage our business relationships.
- To meet our legal and regulatory obligations.
- To send occasional updates about roles or our services. You can opt out at any time.
05Storage & overseas disclosure
We store information electronically using reputable cloud service providers. Some of these providers may store or process data outside Australia, including in the United States. Where this happens, we take reasonable steps to make sure the information is handled consistently with the APPs.
If you are a candidate and a client is located overseas, we will only share your information with them with your consent for that role.
06Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access or disclosure. This includes multi-factor authentication on our business accounts, access limited to people who need it, and secure, reputable cloud services.
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
07How long we keep it
We keep candidate information while it is useful for matching you to roles, and generally for no longer than two years after our last contact with you, unless you ask us to keep it longer or the law requires us to. After that, we securely delete or de-identify it. You can ask us to delete your information at any time.
08Access & correction
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@aicytalent.com.au with the subject "Privacy request". We will respond within 30 days. If we cannot give you access (for example, where the law prevents it), we will explain why.
You can opt out of updates or marketing messages at any time by replying "unsubscribe" or emailing us.
09Our website
Our website does not use advertising or tracking cookies and does not have forms that store your details. When you click an email link, your message is handled by our email provider.
We use Cloudflare Web Analytics to count visits and see which pages are popular. It does not use cookies, does not track you across other websites, and only gives us aggregated statistics. Our site is hosted by a third-party provider and uses Google Fonts, so these services may receive your IP address and basic browser information when you visit, under their own privacy policies.
10Questions & complaints
If you have a question or a complaint about how we have handled your personal information, please contact us first at hello@aicytalent.com.au. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
We may update this policy from time to time. The latest version will always be on this page.
